Financial Fantasy Inc, a North Carolina corporation operating as InitiativeOS ("InitiativeOS," "we," "us," or "our"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information about you and your organization when you use the InitiativeOS platform ("Service") at initiativeos.com.

This Privacy Policy applies to all users of the Service. By accessing or using the Service, you agree to the collection and use of information as described in this Policy.

This Privacy Policy should be read together with our Terms of Service, which governs your use of the platform.

Section 1 — Information We Collect

1.1 Account and Registration Information:

  • Name and email address
  • Organization name
  • Job title or role (optional)
  • Password credentials (managed and encrypted by Clerk)
  • Billing information (processed by Stripe — we do not store payment card numbers)

1.2 Customer Data entered into the Service:

  • Initiative names, descriptions, and configurations
  • Activity completions and responses across the 26 initiative activities
  • Role definitions, escalation paths, governance structures, and other initiative-specific content
  • User-generated text entered into any platform field

Some activities record information about people other than the account holder — for example initiative participants, stakeholders, and sponsors. This may include their name, work email, department and job title; any accommodations they need in order to take part; their preferred working and communication style; assessments of their engagement, influence, or sentiment; and, where the customer uses the Pay for Performance activity, performance ratings and compensation amounts. This information is entered by the customer, not collected by us from the individual. The customer is responsible for ensuring it has a lawful basis and any necessary permissions to enter this information, and for meeting its own obligations to the people described.

1.3 Usage Data (collected automatically):

  • Pages visited and features accessed
  • Activity completion events and timestamps
  • Session duration and frequency of use
  • Browser type, operating system, and device type
  • IP address and approximate geographic location (country/region)

1.4 Communications. If you contact us for support or provide feedback, we retain those communications.

1.5 Information from Prospective Customers: If you submit an enquiry form on our website without registering for the Service (for example, the consulting practice enquiry form), we collect and retain:

  • Name and email address
  • Firm or organization name
  • Information you choose to provide about your engagements or interests

We use this solely to respond to your enquiry and to evaluate demand for planned offerings. You may request deletion at any time by contacting support@initiativeos.com.

1.6 Information We Do Not Collect. We do not collect Social Security numbers, government-issued ID numbers, financial account numbers, or precise GPS location. We do not ask for, and no field in the Service requests, health information, racial or ethnic origin, religious belief, or political opinion. Some fields accept free text, and we cannot prevent a customer from entering such information; we do not use it to build profiles, we do not sell it, and we do not use it to train AI models. If you believe information of this kind has been entered about you, contact support@initiativeos.com and we will work with the relevant customer to remove it.

Section 2 — How We Use Your Information

2.1 Providing and Operating the Service:

  • Authenticating users and managing account access
  • Delivering platform features including initiative management, AI coaching, and analytics
  • Processing subscription payments and managing billing
  • Maintaining platform security and preventing unauthorized access

2.2 AI Coaching and Platform Intelligence:

  • Your Customer Data is used at runtime to generate AI Coaching Output personalized to your initiative. This data is passed to our AI provider (Anthropic, PBC) as part of each coaching request. Under Anthropic's commercial terms, this data is not used to train Anthropic's models and is retained only for a limited period for trust and safety purposes.
  • Anonymized, aggregate patterns derived from activity completion data across all platform users may, in the future, be used to enrich coaching quality and develop platform intelligence features (see Section 3). As of the date of this policy, no such cross-customer data is used — AI coaching is generated solely from your own organization's initiative data.
  • We do not use your Customer Data to train, fine-tune, or modify any AI or machine learning models. AI coaching is generated at runtime using contextual prompts, not by training on your data.

2.3 Improving the Service:

  • Analyzing usage patterns to improve platform features
  • Developing new features and activities
  • Monitoring platform performance and reliability

2.4 Communications:

  • Transactional emails (account confirmation, billing notifications)
  • Trial engagement reminders during your free trial (Day 3, 7, 12, and 14)
  • Notifications of material changes to this Policy or Terms
  • Responding to support requests

2.5 Legal and Compliance:

  • Enforcing our Terms of Service
  • Complying with applicable laws and regulations
  • Responding to lawful legal processes
  • Protecting the rights and safety of InitiativeOS and its users

Section 3 — Aggregate Data and AI Coaching Quality

Initiative OS does not currently aggregate data across customers or use cross-customer data in AI coaching. If this capability is developed in the future, it would work as follows: aggregate, anonymized patterns (such as activity completion rates or common sequencing patterns) may be derived from usage data and used to enrich coaching quality. Raw text entered by users (role names, company names, narratives, or any user-generated content), and any data that could identify a specific organization, initiative, or individual, would never be aggregated or used this way, regardless of whether this capability is developed.

3.4 Opt-Out. Initiative OS does not currently perform aggregate data processing, so there is nothing to opt out of today. Enterprise plan customers may still request, in advance, to be excluded from any future aggregate data processing by contacting support@initiativeos.com; this preference will be recorded and honored if that capability is developed.

3.5 Ownership. Initiative OS does not currently produce aggregate data (see Section 3). If this capability is developed, any resulting aggregate data and insights derived from platform-wide patterns will be owned exclusively by Initiative OS. Your underlying Customer Data remains yours regardless.

Section 4 — How We Share Your Information

We do not sell your personal information.

4.1 Service Providers (Sub-Processors):

  • Clerk, Inc. — Authentication and user identity management. clerk.com/privacy
  • Stripe, Inc. — Payment processing and subscription management. stripe.com/privacy
  • Anthropic, PBC — AI model provider. Customer Data is transmitted to Anthropic's API at runtime to generate AI Coaching Output. Under Anthropic's commercial terms, this data is not used to train its models and is retained only for a limited period for trust and safety purposes. anthropic.com/privacy
  • Supabase, Inc. — Database hosting. Data stored in the United States.
  • Vercel, Inc. — Application hosting. vercel.com/legal/privacy-policy
  • Amazon Web Services — Email delivery via AWS SES.
  • Functional Software, Inc. (Sentry) — Application error monitoring and performance tracing. Receives error reports, stack traces, and request metadata. On a sample of sessions in which an error occurs, Sentry captures a replay of the affected browser session; text content is masked by default and we have disabled the collection of default personally identifying data such as IP addresses and cookies. sentry.io/privacy
  • Macropod Software Pty Ltd (BugHerd) — Website feedback and issue-reporting widget. Loaded only on our public marketing, sign-in, and sign-up pages; it is not loaded inside the authenticated application. bugherd.com/privacy

  • GoDaddy.com, LLC and Microsoft Corporation — Hosting of our business email accounts, including messages you send to our published contact addresses. godaddy.com/legal
  • Proofpoint, Inc. — Inbound email filtering and security for our business email accounts.

4.2 Business Transfers. If InitiativeOS is acquired or merges with another company, your information may be transferred. We will notify you before your information becomes subject to a different privacy policy.

4.3 Legal Requirements. We may disclose information if required by law, court order, or to protect rights, property, or safety.

4.4 With Your Consent. We may share information for any other purpose with your explicit consent.

4.5 What We Never Do. We do not sell personal information, share Customer Data with other customers, or use Customer Data for advertising targeting.

Section 5 — Data Retention

5.1 Active accounts: Customer Data retained for duration of Subscription Term.

5.2 Trial expiration: Initiative data retained 30 days after trial expiry, then permanently deleted.

5.3 Account cancellation: Customer Data retained 30 days after Subscription Term ends for export, then permanently deleted.

5.4 Account information: Basic account info retained for a reasonable period for legal compliance, then deleted.

5.5 Billing records: Retained minimum 7 years as required by law.

5.6 Aggregate data: Initiative OS does not currently produce aggregate data (see Section 3). If this capability is developed, any resulting aggregate data will not contain personal information and will be retained indefinitely.

5.7 Backups: Subject to standard rotation, typically deleted within 30–90 days.

Section 6 — Data Security

6.1 Safeguards we maintain:

  • Encrypted data transmission using TLS/HTTPS
  • Logical multi-tenant data isolation at the application layer
  • Authentication managed through Clerk
  • Database access restricted to authenticated application processes
  • Payment data handled exclusively by Stripe

6.2 Breach Notification. In the event of a confirmed data breach, we will notify you without undue delay and in accordance with applicable law.

6.3 Limitations. No security system is impenetrable. You are responsible for maintaining the security of your account credentials.

Section 7 — Your Rights

7.1 Access. Right to request a copy of personal information we hold.

7.2 Correction. Right to request correction of inaccurate information.

7.3 Deletion. Right to request deletion of personal information, subject to legal retention requirements. Initiate via Service settings.

7.4 Data Portability. Professional and Enterprise plan customers may export Customer Data using in-app export features.

7.5 Objection and Restriction. You may object to certain processing activities. Initiative OS does not currently perform aggregate platform intelligence processing (see Section 3), so there is nothing active to object to today; you may still register an objection in advance in case that capability is developed (see Section 3.4).

7.6 California Residents (CCPA/CPRA). Rights include: right to know, right to delete, right to opt out of sale (we do not sell personal information), and right to non-discrimination for exercising privacy rights.

7.7 Availability. The Service is currently offered to customers in the United States only, and is not marketed to or intended for individuals or organizations in the European Economic Area or the United Kingdom. If we begin offering the Service in those regions, we will update this Policy and provide advance notice in accordance with Section 11.

7.8 Exercising Rights. Contact support@initiativeos.com. We respond within 30 days.

Section 8 — Cookies and Tracking Technologies

8.1 Cookies we use:

  • Authentication cookies — set by Clerk to maintain login session. Strictly necessary.
  • Preference cookies — to remember settings and preferences.
  • Attribution cookie — a short-lived cookie recording how you arrived at our site (for example, a campaign referrer), read once when your organization is created and then deleted.
  • Diagnostic storage — set by Sentry to correlate error reports from a single browser session.

We do not use advertising cookies, and we do not operate a general-purpose website analytics product.

8.2 Third-Party Cookies. Clerk, Stripe, Sentry, BugHerd, and Descript may set their own cookies or equivalent browser storage, governed by their respective privacy policies. BugHerd and Descript are present only on our public marketing, sign-in, and sign-up pages.

8.3 Cookie Control. You can control cookies through browser settings. Disabling authentication cookies will prevent Service access.

8.4 Do Not Track. The Service does not respond to browser Do Not Track signals. We do not engage in cross-site tracking for advertising.

Section 9 — Children's Privacy

The Service is intended for business use by adults and is not directed at individuals under 18. We do not knowingly collect personal information from children under 18. Contact support@initiativeos.com if you believe we have inadvertently collected such information.

Section 10 — International Data Transfers

InitiativeOS is operated from the United States, and all Customer Data is stored and processed in the United States. The Service is offered to United States customers only (see Section 7.7).

If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States.

Section 11 — Changes to This Privacy Policy

We may update this Privacy Policy from time to time. For material changes, we will provide at least 30 days' advance notice via email or in-app notification. Continued use of the Service after any change constitutes acceptance.
